Connect and set up Close CRM

The Close integration lets you create ioumi contracts directly from an opportunity in Close. ioumi takes the customer data from Close, only asks for what is still missing, and can move the opportunity to the next status once the contract is created, sent or signed.

The integration is included in every ioumi plan.

  • An ioumi account with the Owner or Admin role.
  • A Close user with admin permissions. Only admins can create Integration Links and Custom Fields in Close, and ioumi needs both when you connect.
  1. In ioumi, open Settings › Integrations › Close and click Connect.
  2. You are redirected to Close. Choose the Close organization you want to connect.
  3. Grant access. You are taken back to ioumi and the connection is ready.

All settings on this page are saved instantly. Only disconnecting asks you to confirm.

Right after you connect, ioumi automatically creates the following in your Close organization:

NameTypeObjectPurpose
ioumi DealIntegration LinkOpportunityCreates a contract for this opportunity
ioumi Contact IDCustom Field, hiddenLeadLinks the lead to the ioumi customer
ioumi Deal IDCustom Field, hiddenOpportunityLinks the opportunity to the contract
ioumi DealCustom Field, visibleOpportunityLink to the contract in ioumi

The two ID fields are not visible in Close, they are only used to keep things in sync in the background. The field names are always in English, whatever language you use ioumi in.

You can switch the “ioumi Deal” link off and on again in the settings at any time.

Open the opportunity in Close and click ioumi Deal.

  1. Choose a template. With no contract template, ioumi starts with a blank contract. With exactly one, ioumi uses it automatically. With several, you choose the one you need.
  2. Check the customer. If the customer already exists in ioumi and is complete, you go straight on. If the customer is new, you see the customer form, prefilled with data from Close. If an existing customer is missing something, ioumi tells you exactly what, for example “VAT ID missing, required for reverse charge” or “Address missing or incomplete”.
  3. Open the contract. The contract opens with the customer and template. Adjust what you need and send it.

If you work in several ioumi teams, ioumi switches to the team that is connected to Close and briefly lets you know.

  • One lead in Close equals one customer in ioumi, the company.
  • Name, email and phone come from the opportunity’s contact. If the opportunity has none, ioumi takes the first contact of the lead.
  • ioumi recognizes existing customers by the “ioumi Contact ID” on the lead, then by its own link, and finally by email address.
  • You can create several contracts per opportunity. The opportunity fields show the most recently signed contract, otherwise the most recently created one.

Once the contract is created, the ioumi Deal field on the opportunity holds the link to it. One click opens it in ioumi, with its status and payments.

You can fill every ioumi customer and contract field from a field in Close, on the lead, contact or opportunity, including custom fields.

  • Customer fields: company, name, email, phone, address, country, VAT ID, customer number and billing email. Company, name, email, phone and address are preset.
  • Contract fields: title, external ID and reference 1 and 2.
  • User fields such as setter or closer are listed twice: “(Name)” transfers the Close user’s name, “(User-ID)” their ID. Several values are joined with commas.

Good to know:

  • Mapping works from Close to ioumi.
  • Customer values are suggestions for new customers. ioumi does not overwrite existing customers, and later changes in Close do not update ioumi.
  • ioumi never writes into Close’s standard fields.

For each pipeline, you can choose which Close status the opportunity moves to when the contract in ioumi is

  • created,
  • sent or
  • signed.

All three are optional. The rules:

  • Only the pipeline the opportunity is in applies.
  • ioumi only moves an opportunity forward, never back.
  • A signature always wins, even if the opportunity is already set to “lost” in Close.
  • ioumi never changes opportunities that are won.

Optionally, ioumi writes the contract value to the opportunity when the contract is signed, either gross or net. With several contracts, the most recently signed one counts.

ioumi creates new customers from Close with the customer type you set as default: automatic, company or individual. For individuals, ioumi hides the company name and VAT ID.

ioumi suggests the tax treatment based on the countries involved:

  • Same country as your business, or an individual: regular VAT.
  • Business in another EU country: reverse charge, the VAT ID is then required.
  • Business outside the EU: no VAT.

You can change the suggestion in the form at any time.

Only Owners and Admins can see and change the field mapping and status rules. Users with the Member role see the connection and settings, but not the mapping.

Open Settings › Integrations › Close and click Disconnect. ioumi removes the “ioumi Deal” link from Close and revokes its access. The fields it created and all data in Close stay in place.

If you later connect a different Close organization, you start again with the field mapping and status rules.

Message “Admin permissions required” The Close user who connected is not an admin. Connect Close again with a Close admin.

Message “Link expired” The data from Close stays valid for 30 minutes. Click ioumi Deal in Close again. The message also appears if the connection was disconnected in the meantime or reconnected with a different Close organization.

Do you have special requirements for the integration or miss a feature? Tell us about it. We keep improving the Close integration and welcome every piece of feedback.
